Formatting Retail POS (R-Series) customer information for import into Retail POS (X-Series)

Understanding the customer information fields

Use the table below to compare the Retail POS (R-Series) customer information equivalent to Retail POS (X-Series) and how to format these for import:

R-Series X-Series Column header Description
N/A Customer code customer_code A unique identifying code for the customer that is automatically generated by Retail POS (X-Series).
First name First name first_name The customer's first name.
Last name Last name last_name The customer's last name.
Title N/A N/A This field is not available in Retail POS (X-Series).
Customer Type Customer Group customer_group_name Specifies the group you want to assign your customer to for discount, and sales tax (e.g Student or employee).
Company Company name company_name If the customer is a commercial client, the name of the company they represent can be added.
DOB Date of birth date_of_birth The date that the customer was born. This should be entered in dd/mm/yyyy format.
N/A Gender sex Optional field to specify the gender that the customer identifies as. This can be set as "M" for male, "F" for female, or "N" for non-binary.
Address 1 Street postal_address1 Customer's address line 1.
Address 2 Street postal_address2 Customer's address line 2.
N/A Suburb postal_suburb Suburb the customer lives in.
City City postal_city City the customer lives in.
State State postal_state State the customer lives in.
Zip Code Postcode postal_postcode Zip code for where the customer lives. Zip+4 format is acceptable for this field ("12345-1234").
Country Country postal_country_id Country the customer lives in.
Home phone Phone phone The customer's preferred contact phone number. Several formats are acceptable (e.g (123)123-1234, 123-123-1234, or 1231231234).
Work phone N/A N/A This field is not available in Retail POS (X-Series).
Fax Fax fax The customer's fax number. Several formats are acceptable (e.g (123)123-1234, 123-123-1234, or 1231231234).
Mobile Mobile mobile The customer's preferred contact mobile number. Several formats are acceptable (e.g (123)123-1234, 123-123-1234, or 1231231234).
E-Mail E-Mail email Customer's primary email address
E-Mail 2 N/A N/A This field is not available in Retail POS (X-Series). Only one e-mail address can be captured per customer.
Website Website website Customer's website
Tags N/A N/A This field is not available in Retail POS (X-Series). Tags can be added to a customer using the custom fields below.
Notes Note note Customer-related notes

Contact Opt-In to Marketing and Promotional Emails do_not_email To set whether a customer wishes to be contacted using the provided email address. Set to "0" for yes or "1" for no.

Importing customer credit account balances

Retail POS merchants do not currently have the ability to bulk import customer credit account balances (store credit) and these must be added manually at an individual customer level. 

To add store credit to your customers once they have been imported, navigate to Sell > Sell and use the Add a customer field to locate and add a customer to the sell screen.

Once the customer has been added, click the customer's name to open the customer profile. Next, click the Store credit tab.

Here you can issue the customer store credit by clicking Issue store credit. Enter the Store credit value and a Note to explain why the store credit is being issued. The note field is mandatory, however, you can enter anything you wish to satisfy this requirement. Once completed, click Give store credit.

The Store credit issued window will display the value of the store credit issued and the current store credit balance for the customer. If you wish to print a receipt for your records, click Print receipt, otherwise click the X to finish.
