Using sales reports

Sales reports can be used to drill into your sales data. This will allow you to track sales progress, forecast for future periods, and make promotional decisions based on real data.

Navigate to Reporting > Sales reports. Use the following information to customize sales reports to suit your requirements.


Report type

By default, your sales reports will display a Sales summary. You can choose to drill down into specific data points in order to review higher-level trends using the Report type drop-down.

Report types are restricted by which plan your Retail POS account is on. If you are unsure what plan you are on, navigate to Setup > Billing and your plan will be listed as You’re currently on the X plan.

Refer to the column relevant to your plan below for what report types are available to you:

Lite Lean and Standard Pro, Enterprise, and Advanced

Measure

Filter your results to focus on different views of your sales using the Measures drop-down.

Sales report measures are restricted by which plan your Retail POS account is on. If you are unsure what plan you are on, navigate to Setup > Billing and your plan will be listed as You’re currently on the X plan.

Date range

You can set the date range for this report. When you select the Date range drop-down, you will have the option to review sales performance in a specific period (Specify period) or between specific dates (Specify dates).

Specify period

There are two parameters to set when using the Specify period option:

1. First, set the period to compare when running a report. The following period options are available: Year, Quarter, Month, Week, Day, or Hour.

2. Once you have selected the period to compare, you can select a time range. The following options are available:

  • [comparison period] to date: e.g. year to date, or today's sales.
  • Previous [comparison period]: e.g. last year, or yesterday.
  • Last x [comparison period]: e.g. last two years, last ten days, last three weeks.
  • x [comparison period], from xx/xx/xxxx: e.g. 6 months, starting January 1, 2014.

This will generate a report for the comparison periods you have selected.

Specify dates

If you would like to filter your reports between two fixed dates, click Specify dates. Next, select the From and To dates, and click Apply. This will generate a report for your custom date range.

Comparison

  Note

The comparison feature is not available on Lite, Lean and Standard plans.

You can use the comparison feature to compare selected date(s) to the same time period in the previous year. This can help you identify seasonal changes in your business. 

After setting your date range, select the Comparison option. You can choose from:

  • No comparison: set by default, no comparison is made
  • Same dates in previous year: the dates that will be compared will be displayed
  • Same period in previous year: matched by weekdays

Click Apply to compare dates in your report.

More filters

The filters bar can help you fine-tune your data so you can dig deeper. To open the filters bar, click More filters.

Select whether to Include or Exclude the filter type from the drop-down. If you wish to Include and Exclude specific filters, add the first filter and click + Exclude or + Include, depending on your initial selection.

The following filter types can be applied to the sales report:

  • Product Name
  • Product SKU
  • Product category
  • Product Tag
  • Variant Attributes
  • Customer (search by name or email address)
  • Customer Group
  • Outlet Name
  • Supplier Name
  • Brand Name
  • Register
  • User

  Note

Because you can add multiple filters, it is important to understand the way they work together:

  • Adding an extra filter of the same type causes the filters to work as "either/or". For example, Supplier: Nike and Supplier: Adidas will show data for sales with products that have either the supplier Nike or Adidas.
  • Adding an extra filter of a different sort causes the filters to work as "and". For example, Supplier: Nike and Type: Shoes will show data for sales with products that have both the supplier Nike and the type Shoes.
  • Adding another filter tag of the same sort will give you MORE results, as it broadens the results you can see already.
  • Adding another filter tag of a different sort will give you FEWER results, as it restricts the results you can see already.

You can also choose to include add gift cards into your reporting by clicking the Include gift card sales toggle. This setting is disabled by default.

Format results

For a more specific date and time filter, dates can be grouped by clicking Format resultsSelect to group dates by week, weekday, or hour, under Arrange columns

The purpose of this filter is to add additional options for grouping the results in the selected report by week, day of the week, or hour of the day. This option also gives a better overview of certain patterns or trends that you may have observed over specified dates, which will help when making comparisons.

Export report

To export your report data, click Export report.

You can then choose to download the report as an XLSX or CSV file that can be opened in a spreadsheet application such as Excel or OpenOffice.

Save report

Admin and manager user roles can save customized reports to be used in future. For more information, refer to Saving customized reports.

Saving a customized report is only available to merchants on advanced or enterprise plans, or those that have purchased the advanced reporting module.
