Online Order Fulfillment in Vend

If your Vend store is connected to your BigCommerce, Shopify or WooCommerce store, you will be able to quickly see, manage and fulfill orders on the Fulfillments page (Inventory -> Fulfillments).

What is Online Order Fulfillment?

When an online order is created and synced through to Vend from your e-Commerce platform, the product(s) inventory count is deducted from on hand. 

A fulfillment is a list of items that need to be picked and packed to fulfill an order. When the online order item(s) have been picked, packed and shipped to the customer, you're able to update the status and mark the order as complete (fulfilled).

The Fulfillments page (Inventory -> Fulfillments) contains all unfulfilled orders that have synced from your ecommerce platform and the following order information:

  • Sale Receipt: the receipt number (the same as an in-store sale) and date/time of order
  • Status: whether the order is New, someone has begun fulfilling the order (In Progress), or Packed. Complete orders will not be displayed on the Fulfillments page, they will be recorded in Sales History.
  • Type: denotes if the order is to be picked for Delivery or Pickup
  • Customer: the customer that purchased the sale
  • Item: the products that were purchased within the order and requiring picking
  • QTY: the quantity of each item purchased. When using Scanner to fulfill the order, this may display as a partially picked quantity when not all items are available.
  • Sales Note: customer details, address, and notes sync from ecommerce platform
  • Fulfillment Notes: these can only be added through the Scanner and typically denote any issues that may arise during picking, such as damaged or unavailable stock. These cannot be input or edited outside of Scanner.
  • Assigned User: Vend user assigned to pick the order; this can only be assigned using the Scanner app

How to fulfill orders for Delivery

When an online order for delivery is placed through your online store and synced to Vend, it will appear in the Fulfillments page (navigate Inventory -> Fulfillments) with the order type Delivery

The Status will detail whether the fulfilment is NewIn Progress or Packed. Expanding the sale will display what products need to be picked under Items, how many (QTY) and the delivery details under Sales Notes.

There are two ways to fulfill your order(s):

Picking the order manually

  1. Print the order packing slip(s) and shipping label(s) through your normal workflow (outside of Vend)
  2. Pick the items from the packing slip.
  3. Pack these items into shipping bags/boxes as required.
  4. Once picked, locate the order on the Fulfillments page, click to expand and select Mark as Packed.

      Note

    Marking a Click & Collect order as Packed will update the status of the order to Awaiting Delivery on BigCommerce. The status will not be updated for Shopify, or WooCommerce orders.

  5. Attach the package tracking details on your eCommerce platform
  6. Prepare the package for shipping; locate the order on the Fulfillments page, click to expand and select Mark as Shipped.
  7. Email the customer to notify that the order has been shipped (including shipping details)

When the order is Marked as Shipped, the order status will then be updated to Delivery, Completed in Vend, and Fulfilled in Shopify, or Completed in BigCommerce or WooCommerce.

The order will then be removed from the Fulfillments page. To access the order once completed, navigate to Sell -> Sales History.

  Important

Some online orders will need to be fulfilled by more than one outlet due to stock levels. This will display as separate fulfillments on the Fulfillments page, filtered by outlet.

An online order cannot be marked as partially fulfilled. If an online order is split between two different outlets to be fulfilled, and one outlet marks the sale as “packed”, the entire order is still in an “unfulfilled” status.

How to fulfill a Click & Collect order

When an online order for Click & Collect is placed through your online store and synced to Vend, it will appear in the Fulfillments page (navigate Inventory -> Fulfillments) with the order type Pick Up

The Status will detail whether the fulfilment is NewIn Progress or Packed. Expanding the sale will display what products need to be picked under Items, how many (QTY) and the delivery details under Sales Notes.

There are two ways to fulfill your order(s):

Picking the order manually

  1. Locate the order on the Fulfillments page, click to expand and select View Sale.
  2. Click Print Receipt and use this as your pick list.
  3. Pick the items from the receipt
  4. Pack items into shopping bags/boxes, attach the receipt and put aside
  5. Locate the order on the Fulfillments page, click to expand and click Mark as Packed

      Note

    Marking a Click & Collect order as Packed will update the status of the order to Awaiting Pickup on BigCommerce. The status will not be updated for Shopify, or WooCommerce orders.

  6. Email the customer to notify that the order is ready for collection
  7. Once the customer has collected the order, locate the order on the Fulfillments page, click to expand and click Mark as Picked Up

When the order is marked as picked up, the order status will then be updated to Pick Up, Completed in Vend, and Fulfilled in Shopify, or Completed in BigCommerce or WooCommerce.

The order will then be removed from the Fulfillments page. To access the order once completed, navigate to Sell -> Sales History.

  Note

If you are already connected to BigCommerce, you will need to re-connect or update your Vend app in BigCommerce’s marketplace in order to use Vend's Online Order Fulfillment feature.
