Xero Error: Account must be valid. Tax rate must be valid.

Problem

Trying to send a register closure to Xero results in this error message: 'Bad request. A validation exception occurred -Account must be valid. Tax rate must be valid. 

Setup

  • Vend for Mac or PC
  • Xero Integration

Cause

The account in Xero is archived or locked. The tax rates do not match between Vend and Xero.

Solution

Check for archived accounts:

  1. Click Setup
  2. Click Add-ons
  3. Click the pencil icon next to the Xero add-on to see your Xero settings
  4. Log into Xero
  5. Click Settings
  6. Click Chart of Accounts
  7. Click the archive tab
  8. Search for an account mapped in your Vend/Xero settings
  9. The account will appear in your search if it is archived
  10. Restore the account by clicking the checkbox
  11. Click Restore

Check for locked accounts:

  1. Click Setup
  2. Click Add-ons
  3. Click the pencil icon next to the Xero add-on to see your Xero settings
  4. Log into Xero
  5. Click Settings
  6. Click Chart of Accounts
  7. Search for an account mapped in your Vend/Xero settings
  8. The account name will have a padlock icon if it is locked

Match Vend/Xero tax rates

  1. Click Setup
  2. Click Add-ons
  3. Click the pencil icon next to the Xero add-on to see your Xero settings
  4. Log into Xero
  5. Click Settings
  6. Click General Settings
  7. Click Tax Rates 
  8. Check that each tax type in Vend has the same tax rate as the Xero tax it is mapped to
  9. To change the Xero tax rate mapped to Vend
    1. Click the drop-down in the Xero setup page
    2. Click a Xero tax that with the same rate as your Vend sales tax

Additional Information

If none of your Xero taxes match your Vend sales taxes, create a new tax rate in Xero with the same rate.

You will not be able to change your tax rates in Xero if they have been used in a transaction, are a locked tax rate, or are Tax Exempt (0%) or Sales Tax on Imports. You can learn more about editing tax rates in Xero here.
