Common errors with Product spreadsheet imports

To avoid problems importing your Product file into Vend we have compiled the following list of common errors.

Vend supports .csv .xlsx and .xls file formats for exporting and importing product information.

Check your product file for the following:

When you're wanting to import in large numbers of products, try importing 1000 products at a time. If the import is then rejected, this will make it easier for you to find where the problem may be.

Export some products first to use as a sample template. This will help to ensure you have the right fields and data for import and that you have all the mandatory fields. 

To test that your imports are working OK, please:

  1. Search for a single product in Vend
  2. Export this product to a .csv .xlsx or .xls file
  3. Open in your spreadsheet application and make a minor change (i.e., the description)
  4. Reimport to Vend, to see if it updates

Common errors with Product file imports

Errant Commas:

Double commas and commas in unusual places (e.g. before an entry) may cause the product file to be rejected.

Unusual characters:

Anything that is not an alphanumeric character in the SKU or handle field may cause the file to be rejected; these can include:

Apostrophe ( ' )

Grave accent ( ` )

Parentheses ( )

Square brackets []

Hyphen (-)

Period (.)

Comma (,)

Colon (:)

Ampersands (&)

Quote Marks (")

Asterisks (*)

Duplicate SKUs:

Each SKU must be different. Before importing into Vend, open the file in Notepad (Windows) or Text Edit (Mac) and check that the SKU column has not truncated the number before importing the file into Vend.

Microsoft Excel has an unfortunate habit of 'truncating' long numbers in Excel. Turning 8 or 9+ digit numbers into numeric references like 8.765+E.

If you encounter this error, here is a way to resolve it:

1. Use Open Office, and follow How to format CSV files in Open Office to format the file so your numbers do not truncate when saving to CSV

Missing mandatory name field:

The name column is a mandatory field. If you do not fill out this field, the file will not import.

Handle is not in correct format:

The handle field cannot have spaces or any special characters. Unless it is a variant product, your product handles must also be unique.

 
Outlet names not matching those set up in Vend:

The product file import will create fields in Vend for example brands, suppliers, tags, tax rates, etc.; however, it will not create outlets. Therefore check that the outlet spelling in the product import matches the outlet spelling in Vend.
